Weddings: Terms & Conditions 2008

INTRODUCTION

These terms and conditions form the contract between you, the Bride the Groom and any other person who is contributing to the cost of the wedding and who signed these terms and conditions, and us, Northern Touch Limited trading as ‘Hazlewood Castle’, for your wedding at Hazlewood Castle.  These terms and conditions are binding upon you once you have signed them and therefore you should read them carefully and ask us if you have any queries before you sign them.

BOOKING

Once you have decided on a suitable date and have checked availability with Hazlewood Castle, you can then make a provisional booking.

The provisional booking will be held for up to fourteen days or until another request is made for that particular date.

To confirm the booking, we must receive the following:

Written confirmation.

A signed copy of these terms and conditions, signed by the Bride, the Groom and any other person who is contributing to the cost of the wedding.

The appropriate deposit.

DEPOSIT

An initial deposit is required on confirmation of a provisional booking (the “Initial Deposit”).  An Initial Deposit of £1,500 will be required for all weddings.

Six months prior to the date of the wedding we require you to pay a further deposit of 40% of the total cost of your wedding (the “Further Deposit”). 

Initial deposits are non-refundable.

NUMBER OF GUESTS

Weddings taking place in the castle on a Saturday must be for a minimum of ninety guests during the day, and minimum of seventy guests during the day on a Friday, Sunday and bank holiday Monday.  

 

                Minimum numbers for weddings taking place Monday – Thursday are:-
                Silver                      40 guests
                Gold                       70 guests

Silver wedding packages are not available on a Saturday from May until September only Gold Packages apply

In the event that your numbers fall below the numbers set out in clause 4.1 for the wedding breakfast, the full package price per person will be made for each person by which your numbers fall below the specified minimum amount.

Final numbers of guests must be confirmed to us at least two weeks before your wedding. 

PAYMENT

Final payment is required six weeks before your wedding.  Any outstanding amounts must be paid for on departure from Hazlewood Castle after your wedding.  We will not send an invoice to you after the wedding.

If you fail to make a payment by the due date we will assume that you wish to cancel your booking and that we can attempt to re-sell the date for which your wedding was booked.  Any deposits paid will not be refunded.

The total cost of your wedding will be calculated by us on the greater of:

  • the total number of guests attending your wedding; or
  • the number of guests you notified to us prior to your wedding.

This is subject to the minimum numbers of guests set out in clause 4 above. 

If the deposit paid is greater than the total cost of your wedding the difference will be refunded within 20 working days of the event.

All prices are inclusive of VAT at the current rate.

Prices quoted are valid at the time of confirmation of your booking.  We reserve the right to vary our prices if there is a change in the rate of VAT.

All cheques must be made payable to Hazlewood Castle Limited.

ROOM RESERVATIONS

All bedroom reservations, with the exception of the Bride & Groom’s, which is available from 12pm, will require a £50.00 deposit on booking the reservation. Check in time is from 3.00pm, check out time is 11.00am

CANCELLATION

In the unfortunate event that you have to cancel your booking, there needs to be an agreed “cancellation policy”, as cancellations cost Hazlewood Castle money. Any cancellation must be confirmed to Hazlewood Castle in writing, send by recorded delivery only

Date of Cancellation

Cancellation charge paid by you

More than six months before the event is scheduled to take place

The Initial Deposit will be forfeit

Between six months and three months before the event is scheduled to take place

The Initial Deposit and the Further Deposit will be forfeit

Between three months and one month before the event is scheduled to take place

You must pay 75% of the total booking value (less any deposit)

Less than one month before the event is scheduled to take place

You must pay 100% of the total booking value (less any deposit)

In the event of cancellation we will endeavour to obtain another booking for the proposed date of the event.  If we are able to do this we will waive a proportion of the cancellation charges.  It is, however, more difficult for us to find another booking if you cancel closer to the proposed date of the event; and our cancellation charges reflect this and the costs we have incurred in preparing for the event.

CANCELLATION BY THE HOTEL

If, due to circumstances beyond our control, Hazlewood Castle is unavailable for your event, then we will endeavour to find you an alternative venue.  If we are unable to do this then a full refund will be given.

DAMAGE AND LOSS

Whilst you and your guests are occupying Hazlewood Castle, we ask that you take every effort to safeguard the fixtures, fittings and decorations of Hazlewood Castle.  Any damage caused shall be restored by Hazlewood Castle and the cost incurred will be charged for in full to the person(s) in whose name the booking is made.

Hazlewood Castle cannot accept liability for loss or damage to you or your guests property unless the loss or damage is due to the negligence, wilful act or default of us or our employees.

GENERAL

These terms and conditions are subject to the laws of England. 

Nothing in these terms and conditions shall confer on any third party any benefit under them or the right to enforce them.

If any part of these terms and conditions is invalid or unenforceable, that part shall be severed from the rest of the terms and conditions which shall continue in full force and effect.

The Bride and Groom and any other person who is contributing to the cost of the wedding and signs these terms and conditions shall be jointly and severally liable for all sums under this contract.  This means that Hazlewood Castle can require any one of you to pay part or all of the amount due under this contract.

Hazlewood Castle reserves the right to hold a second private function on the same day.

Hazlewood Castle recommends that wedding insurance is purchased

  • We cannot accept responsibility for any matters that are outside our control and/or that occur due to natural disaster, terrorism or Act of God.

  • These terms and conditions can be amended at any time and if they are amended then notification will be given in writing within 28 day’s of the change.

  • Any wedding property, gift’s/presents will be the responsibility of the wedding party and not the responsibility of Hazlewood Castle Hotel.

  • Suppliers – Public Liability.  We must ask you to obtain of copy of your suppliers Public Liability Certificate – this must be to the value of £5,000,000.  Without this certificate they will not be allowed to work at Hazlewood Castle.
